Hours: 37 hours per week

The Role

They're looking for the right candidate to offer multifunctional administration support to their management team and services. The role will include dealing with general duties, including finance whilst maintaining the appropriate level of confidentiality.

To provide multifunctional administration support to the Regional Directors, Regional Managers, Area Managers, Service Delivery Leaders and Team Leaders across Adult Services within Livability.

This will ensure the effective running of front-line services, using a number of organisational systems and processes.

Key Responsibilities

* To process purchase order requests, placing orders and receipt all goods.

* Dealing with all internal and external purchase order queries.

* Support with Livability invoicing process.

* Complete support hours returns and provide data to the finance team.

* Process DBS Renewals/annual declarations for all applicable staff within Adult Services.

* Monitor Right to Work for all applicable staff within Adult Services and maintain internal log.

* Process leaver forms and contract change forms as & when required.

* Complete retention and exit interviews, providing all details to relevant parties.

* To upload documents to all relevant internal systems.

* Take sickness calls for Adult Services, logging all details on the internal system. Providing all details to service point of contact and monitor sickness until point of return.

* To log any sickness that is reported via absence inbox and monitor sickness until point of return.

* Processing payroll for Adult Services. Checking all time sheets, calculating staff hours, input data onto payroll spreadsheet and checking final summary within deadlines set.

* To provide all administrative support within the Livability induction process.

* Assist with all online training queries.

* Process eye care voucher requests.

* To maintain service training certificates and upload to service matrix.

* To assist with booking staff training.

* Undertake administrative support to the management teams, any committees and People supported Forum as required including coordinating the arrangements, drafting agendas, taking and distributing of minutes.

* Maintain the Next Of Kin register for all people supported.

* To book agency via online portal for all services. Providing all relevant details to service point of contact.

* Process recruitment for all new volunteers and maintain internal register.

* Type minutes of meetings and supervision notes.

* Assist with sending letters/documents using mail merge.

* Attend monthly support calls with service point of contact.

* Maintain driver database including renewals/annual declarations where applicable.

* Provide support with data analysis and data entry. Ensuring this is to a high standard and within agreed timescales.

* Plan, organise and maintain personal diary management to meet the requirements of the role.

* To provide administrative support for the Livability fundraising team.

* Assist in the planning and preparation of events.

* Support with any referrals and general enquiries.

* To liaise with other operational and administrative personnel throughout the organisation keeping them informed, giving out information in a clear legible, objective and professional manner, in a variety of ways, using the appropriate level of confidentiality.

* Ensure that any equipment used is in good working order and reporting any defects to the appropriate person/company.

* To be responsible for own personal development and ensure that you undertake and attend relevant training, meetings, conferences and events updating and evidencing professional progress in line with your agreed Personal Development Plan.

* To regularly monitor all e-mail inboxes and action accordingly.

* To carry out additional duties and tasks that may be required within the range of the responsibilities of the post.
